Rebecca O’Callaghan is a qualified and accredited psychotherapist, consultant and supervisor providing psychotherapy, trauma therapy, supervision and consultation services to clients and supervisees online. Throughout this policy, “I”, “me”, “my” and “the service” refers to Rebecca O’Callaghan Trauma Therapy, Supervision and Consultation. What data do I collect?
I collect personal information including full name, phone number, email address, and address in order to keep in contact with you to provide supervision and consultation services.
I ask about your date of birth, age, living situation, emergency contact and therapeutic training and background in order to provide suitable supervision/consultation and manage risk. I may ask about other experiences in supervision/consultation and other supervisors/consultants with whom you are currently working in order to gauge the relational and situational context of our work and shape how I work with you.
How do I collect your data?
You directly provide me with the aforementioned data verbally during our online sessions, on the phone, in person, by email, or digitally via my contract and intake forms. I may collect data when you use or view my website via your browser’s cookies.
In some cases I may receive your data indirectly from individuals or organisations through which you have been referred.
How will I use your data?
I collect your data so that I can
- Maintain contact with you as necessary in order to provide supervision/consultation services.
- Tailor supervision/consultation in order to serve the best interests of you and your clients.
- Review our work and seek supervision of supervision/ consultation of consultation in order to improve my work with you.
- Do all within my power to provide safety in emergency situations.
- Monitor activity on my website.
- Monitor my effectiveness with different groups over time.
With whom will your data be shared?
All personal and sensitive data is treated with strict confidentiality. This includes information you give me during your sessions, information provided on intake forms and contracts, and information provided over the phone or by email. The limits to this confidentiality are stated below.
Therapeutic Will: Your name & contact details will be shared with my Therapeutic Executor so that in the unlikely event of my sudden death you can be contacted should you still be in supervision/consultation with me.
Supervision and ongoing training: In order to improve my supervision/consultation work, I refer to the content of our sessions in supervision of supervision or training settings, which are also bound by confidentiality. In these settings you will remain anonymous and unidentifiable.
Emergencies:I may break confidentiality by contacting external services if I believe there to be any threat of harm to you or another. Wherever possible this would be discussed with you first.
Legal limits: There are some legal limits to confidentiality where I may be obliged to divulge information. For example, the Children First Guidelines requires me to report past or present allegations of child abuse to Tusla if I believe there is a risk to any child or vulnerable person currently in contact with the alleged abuser.
How do I store your data?
Your contact details and other identifying data are kept in hard copy securely in a locked filing cabinet or in soft copy in a password protected digital location.
Your full name and contact details may be input and stored in software systems that support my work including: Wave accounting system, Neeto scheduling system, survey and forms. Wave and Neeto collect and store data according to their Privacy Policies which you can access at the following webpages: https://www.waveapps.com/legal/privacy-policy; https://neeto.com/legal/privacy-policy. Your name may appear on financial documents. Wherever possible, codes are used in my financial records. Non-identifying data such as session summary notes are marked only with a supervisee/consultee or supervision group code number or first names and stored digitally, password protected, and separately from any identifying data.
I will keep your data for 10 years after our last contact as required by my professional indemnity insurance provider. After this period, data stored in hard copy will be shredded and data stored electronically, other than financial records, will be securely and permanently deleted.
What are your data protection rights?
I would like to make sure you are fully aware of your data protection rights. Every user is entitled to the following:
- The right to access – You have the right to request copies of your personal data.
- The right to rectification – You have the right to request that I correct or complete any information you believe is inaccurate or incomplete.
- The right to erasure – You have the right to request deletion of your personal data, under certain conditions.
- The right to restrict processing – You have the right to request that I restrict the processing of your personal data, under certain conditions.
- The right to object to processing – You have the right to object to my processing of your personal data, under certain conditions.
